Quote Overview


When a customer wants to inquire about item pricing or how much an order will cost before placing an order, it is called a quote. You can enter a quote in the Order Entry window and Front Counter window by selecting "Quote" from the order status selector. You may choose to change to or from "Quote" at any time before saving.

By entering a quote instead of an order, you can provide the customer with information without actually allocating any inventory. When the customer decides to place the order, you can easily change the quote into an order and edit it as desired.

Recalling a Quote

You can recall a quote in a few different ways. The simplest way is to enter the order number in the main search field and search on orders.

If, however, you have misplaced the order number, you can also find for the quote by searching customer records and right-clicking or CTRL-clicking the customer and selecting "Get Orders" which will display all orders and quotes associated with the customer.

You can also search for the quote based on the item code on the quote. To do that, do an item search and right-click or CTRL-click the item code and select menu option "View Orders".

Once you find the order in question, double-click it and you can begin to edit the item.

Editing a Quote

After you recall a quote you can edit it. For example, if a customer calls back and wants to add another line item to their quote, but is still not ready to order, you can edit that quote. Simply add the necessary information to the quote and save it.

Printing, Faxing & E-mailing a Quote

You can output a quote for your files or to send it to the customer. You can print, fax and email a quote at any time and as many times as you would like. Use the process quote option from the finalize tab or the right-click/CTRL-click option from the order lookup screen.

Converting a Quote to an Order

When a customer is ready to place the order for which you have already given a quote, you can convert that quote to an order. You can also copy a quote and reuse it indefinitely to create orders for any customer, location or ship-to simply by editing the header.

Customers may also convert the quote to an order on their own accord using the Venture e-commerce system. This function works for all customers, even those without open terms or formal accounts with you. If your system is setup with e-commerce, the link for quote checkout is available in the email output option for quotes.

Quote Review

1. Open the Order Entry Window and create a quote.
2. Add two line items, including the quantity you want to order and the unit price of the item.
3. Save the quote.
4. Recall the quote using the search.
5. Edit the quote by adding another line item.
6. Print the quote.
7. Save the quote again.
8. Recall the quote again.
9. Convert the quote to an order.
10. Print a pick ticket for the order.
